This Code of Conduct applies to every aspirant, parent, guardian, alumni, visitor, counsellor interaction, online applicant, mobile-app user and any other person interacting with HBIMS-NAF&SA - National Admission Framework & Seat Assurance.
This Code of Conduct is created to protect candidates, parents, staff, counsellors, MTI representatives, institutional partners and the integrity of the documented admission framework.
1Purpose of This Code
HBIMS-NAF&SA is built on discipline, documentation, transparency and respectful communication. Every candidate must understand that the Merchant Navy is a regulated and disciplined profession. The conduct expected during the admission-support stage reflects the conduct expected later in maritime training and professional life.

2Candidate Responsibilities
- provide true and accurate personal information
- submit genuine academic, identity, medical and supporting documents
- disclose any known medical, academic, identity or document issue honestly
- follow instructions issued by the Student Desk
- attend counselling, screening, interview or document stages on time
- communicate respectfully with HBIMS-NAF&SA staff, counsellors and representatives
- involve parents or guardians where required
- use only official HBIMS-NAF&SA communication channels
- keep payment receipts, acknowledgements and written communication safely
- avoid false statements, forged documents or misleading declarations
3Parent and Guardian Responsibilities
Parents and guardians are expected to support the candidate through a disciplined and respectful process.

- avoid threats, pressure, abusive language or false allegations
- understand what is promised and what is not promised
- review written acknowledgements and payment details carefully
- cooperate during counselling, documentation, grievance and refund processes
- report suspicious payment demands or unofficial claims immediately
Merchant Navy admission is a family decision. HBIMS-NAF&SA encourages parent involvement, but all communication must remain professional and documented.
4Prohibited Conduct
- submitting forged documents
- giving false academic, medical, identity or category information
- hiding known medical issues
- impersonating another candidate or parent
- using abusive, threatening or harassing language
- attempting to influence staff through pressure, threat or inducement
- making false claims using HBIMS or HBIMS-NAF&SA name
- creating fake screenshots, letters, IDs, receipts or acknowledgements
- demanding admission, medical fitness, MTI acceptance, shipboard placement or salary guarantee
- sharing misleading social media posts about HBIMS-NAF&SA
- transferring money to personal accounts or encouraging others to do so
- approaching fake agents while claiming HBIMS-NAF&SA support
- misusing logos, forms, trademarks, copyrighted material or website content
- substance abuse, violence, harassment or misconduct during any office visit, counselling session or institutional interaction
5Payment Conduct
HBIMS-NAF&SA follows a documented and transparent payment process.
- payments are made only through approved bank-channel or official payment modes
- no cash is paid to any individual
- no personal-account transfer is made
- invoice, receipt or written acknowledgement is collected
- payment purpose is understood before making payment
- suspicious demands are reported immediately to official channels
HBIMS-NAF&SA does not authorise unofficial cash collection, personal-account payment, private agent collection or verbal-only payment confirmation.
6Communication Conduct
All communication must remain respectful, lawful and recordable. Official communication channels are listed below.

HBIMS is the brand name of Humble Bee Education Foundation. HBIMS-NAF&SA is the trademark and copyright product of Humble Bee Education Foundation.

Any misuse may lead to removal from the admission-support process and further action as per applicable law.
8Consequences of Violation
- verbal or written warning
- temporary hold on candidate stage
- request for clarification or supporting documents
- suspension from counselling or seat-mapping process
- removal from HBIMS-NAF&SA framework
- cancellation of application-stage support
- denial of refund where violation falls under the Refund & Cancellation Policy
- reporting to appropriate authority where required by law
No refund shall be available where a candidate is removed for serious misconduct, document forgery, false declaration, harassment, substance abuse, fraudulent representation or similar Code of Conduct violation.
9Admission and Outcome Disclaimer
HBIMS-NAF&SA provides admission-support, counselling, eligibility screening, medical-readiness awareness, document guidance and DGMA / DG Shipping-approved MTI mapping support.

10Grievance and Reporting
Any candidate, parent or stakeholder may report misconduct, suspicious payment demand, fake agent activity, document misuse or grievance through official channels.

Grievances are acknowledged within 48 hours and are generally reviewed within 30 days, subject to the nature of the complaint, documents submitted and verification required.

12Acceptance of Code
By submitting an application, attending counselling, communicating with the Student Desk, using the website, using the HBIMS Mobile App, or participating in any HBIMS-NAF&SA stage, the candidate and parent / guardian acknowledge that they have read, understood and agreed to this Code of Conduct.
13Official HBIMS Mobile Application
HBIMS-NAF&SA operates one official mobile application, published under the name HBIMS. It is available for Android and iOS through the two official listings below, and through no other source.

This Code of Conduct applies to conduct within the HBIMS mobile application in the same manner as it applies to counselling, correspondence and every other official channel. Candidates, parents and representatives are expected to observe the same standards of accuracy, respect and documented communication when using the application.
